To whom it may concern:

I am writing this letter to express my extreme adulation for your organization’s exceptional customer service, which I’ve consistently experienced over the past three years. I am a resident of Monroe Place Apartments, which Argen Billing has serviced as long as I have been there. The quality of customer service often depends on what is expected by the customer and what is actually delivered by the organization. Most other billing services are a hassle to deal with. The business processes at other places make it virtually impossible to get anything done, including paying a bill, which is the last thing I want to do. There are often too many layers to the organization and tough to even get a live person on the phone to resolve an issue. I am unsure of the size of Argen, but your organization has found a way to peel back the layers of difficulty, resulting in a seamless and painless experience from beginning to end. Not only that, but the service has been consistent. The level of customer service that you provide has far exceeded my expectations for three years now.

As with any organization, the most important element is its people. 90% of the time when I call in to pay my water bill, Karen assists me. I am unsure if it is your training or if Karen is just a rare breed, but it is obvious that she is an essential part of your operation. Karen possesses a keen balance of professionalism and personality. The way in which a service is delivered can be just as important as the results delivered. One of the most important dimensions of service quality is dependability. I know for certain that anytime I call and reach Karen, I will be taken care of in a timely and professional manner. But not only does her experienced demeanor exude professionalism, she also possesses a personality that I look forward to interacting with. After she has assisted me in the past, we have briefly discussed vacations, the weather, her Harley Davidson, or just life in general. Not often do I look forward to paying a bill. Not often do I prefer to call in as opposed to paying online, which is an offered payment alternative.

A quick summary of what I enjoy about your customer service experience includes:

I could not imagine calling in to pay my cable bill over the phone or any other bill for that matter. But thanks to Karen and the resources that your organization provides her with in order to be effective, I certainly do not mind calling Argen Billing and Conservation to assist in my needs.
